ActionPlan is built around three configurable layers: statuses, automation rules, and notifications.
Statuses
Go to Settings → ActionPlan → Statuses.
- Add, rename, reorder and colour statuses.
- Flag statuses as Blocked to require a reason and light up dashboards.
- Flag statuses as Done to stamp completion timestamps.
- You can have multiple Done statuses (Done, Cancelled, Won't do) — each counts as complete.
Automation rules
Go to Settings → ActionPlan → Automation.
- Triggers — status changed, due date reached, action created from template, action overdue by N days.
- Actions — reassign, change status, set priority, notify a user or role, add a comment, create a follow-up action.
- Scope — restrict to a template, client, cost area or priority.
Notification preferences
Each user controls their own at Settings → ActionPlan → Notifications.
- Choose channels per event type: in-app, email, or daily digest.
- Mute low-priority actions.
- Set quiet hours so email defers to the next working morning.
Common issues
- Rule isn't firing — check the scope; scoped rules only run when every filter matches.
- Too many emails — switch to Daily digest.
Plan availability
Custom statuses are on Pro. Automation rules require Ultra.
