WorkflowMax migration

Moving off WorkflowMax? Your history comes with you.

AtomicSam imports your clients, Jobs, time, quotes, invoices and costs from WorkflowMax, including the task and cost libraries you built up over years. Your old records stay readable after the move.

The reason firms stay on a system they have outgrown

It is almost never the software. It is the ten years of Jobs, the task library somebody spent a fortnight getting right, the rates, and the invoices you still need to look up. Starting clean means losing all of it, so the move never happens.

AtomicSam was built with that problem in mind, so the import is not an afterthought bolted on for launch.

    What comes across

Eighteen kinds of record, not just a client list

    People and organisations

    • Staff
    • Clients
    • Contacts
    • Client-to-contact relationships
    • Suppliers

    Work

    • Jobs
    • Job tasks
    • Job task assignments
    • Job costs
    • Job statuses

    Your libraries

    • Task templates
    • Cost templates

    Commercial records

    • Time entries
    • Quotes
    • Invoices
    • Quote-to-Job links
    • Invoice-to-Job links

The links matter as much as the records. An invoice that has lost its Job is just a number.

    How it runs

    A seven-step wizard, not a data project

    01

    Export your files from WorkflowMax

    02

Upload them into the wizard, one file slot per record type

    03

Preview what was found before anything is written

    04

Map your WorkflowMax Job statuses onto AtomicSam's

    05

    Choose your import options

    06

Run it, with progress shown as it goes

    07

    Review the summary

    Nothing is thrown away

Imported records are written into AtomicSam, and the original WorkflowMax rows are also kept in separate legacy tables. If a figure ever looks wrong, the source is still there to check against. Every import is logged.

    A checklist, not a shrug

The import finishes with a post-import checklist and a report, so you can work through what needs a human eye rather than guessing whether it worked.

Bring the history. Leave the friction.

Xero announced in March 2023 that it would retire WorkflowMax and sold the brand to BlueRock, and WorkflowMax by Xero was taken offline in June 2024. Many firms have moved system once already. If you are considering moving again, the data is the part worth getting right.
