    Frequently asked questions about switching PSAs

    How long does migration from WorkflowMax (or another PSA) take?

    Most migrations land in a 2–4 week window from kickoff to go-live. Smaller teams with clean data are often live inside a week; larger firms with custom workflows, multi-entity setups, or several years of historical jobs typically run closer to four.

    A dedicated migration specialist owns the project end-to-end. They run a discovery session, map your current system to AtomicSam, extract clients, jobs, quotes, invoices, time entries, and rate cards, then load everything into a sandbox tenant for sign-off before we cut over.

    For WorkflowMax specifically — given the Xero sunset — we have purpose-built tooling that pulls your data via the official API, preserves job numbers, and reconciles back to Xero on the other side so your accounting trail stays intact.

    Will I lose any historical data when switching from Scoro, Projectworks, or Productive?

    No. We migrate the full picture: clients, contacts, jobs/projects, quotes, time entries, expenses, invoices, payments, purchase orders, and the rate cards behind them. Custom fields and tags come across too where there's a sensible target field in AtomicSam.

    Historical financials migrate with their original currency and exchange rates, so WIP, profitability, and utilisation reports stay comparable to what you saw in your old system. You can run a 'last 12 months' report on day one and the numbers will reconcile.

    We keep an immutable audit trail of every imported record (source ID, original timestamp, who imported it) so compliance, audit, and reporting teams have a clear lineage if they ever need to trace something back.

    Can AtomicSam connect to both Xero and QuickBooks Online?

    Yes — both are native, first-class integrations. WorkflowMax only works with Xero, and most other PSAs treat one provider as primary and the other as second-class. AtomicSam is provider-agnostic by design.

    That means invoices, bills, contacts, payments, credit notes, tax rates, and tracking categories all sync bi-directionally with whichever provider you use. You can also map AtomicSam tax rates and GL accounts independently per provider, which matters for multi-entity firms running different ledgers in different countries.

    If you ever switch accounting systems — say from Xero to QuickBooks after an acquisition — you don't need to re-platform your PSA. We've designed the integration layer specifically so you can keep your operational data in place and just re-point the accounting connection.

    What happens to my team's workflows during the switch?

    We run a parallel period (typically 1–2 weeks) where both systems are live. New work goes into AtomicSam, in-flight work continues where it started, and we close out the old system on a planned cutover date. This avoids the 'big bang' risk that scares most teams off PSA migrations.

    During onboarding we map your existing workflows — job statuses, approval chains, invoice modes, rate stacking, terminology — into AtomicSam's configuration. If you call them 'matters' or 'engagements' instead of 'jobs', we set that up using the terminology customisation system so the UI reads the way your team already talks.

    Training is role-based: a 60-minute session for timekeepers (mostly 'how do I log time fast'), a deeper session for project managers and finance, and an admin walkthrough for whoever owns settings. We record everything, and your knowledge base stays in-product. Most teams are fully productive in their first week.

    Is there a cost for migration support?

    Migration support is included free for all annual plans. That covers the dedicated specialist, the data extraction and mapping work, the sandbox loading, the parallel-running period, and the cutover.

    For monthly plans, migration assistance is available as a one-off paid service — useful if you want to commit month-to-month while the team gets comfortable. The price scales with data volume and complexity, and we'll quote it transparently after the discovery call so there are no surprises.

    There are no hidden 'data ingestion' fees, no per-record charges, and no separate line item for setting up integrations. If we say migration is included, the whole project is included.

    How does AtomicSam handle multi-currency for global teams?

    AtomicSam runs true multi-currency throughout — quotes, jobs, time, expenses, purchase orders, and invoices can each operate in their own currency, with consolidated reporting in your base currency.

    Exchange rates are pulled automatically (with manual override available for finance teams that prefer to control timing), and historical rates are preserved on each transaction so historical reports never silently shift when today's rate moves. You can also run client-specific or job-specific currencies independent of the staff member's home currency, which matters for firms with distributed teams serving international clients.

    If you're switching from Projectworks or another system that already does multi-currency, your existing rates and historical conversions migrate intact. WIP, AR, and revenue forecasts all reconcile back to the figures you saw in your previous system.

    How does AtomicSam's pricing compare to other PSAs?

    AtomicSam is positioned in the affordable middle of the PSA market. We're typically less expensive than Scoro and Productive (which often land in the $25–35+ per user per month range once you add the modules you actually need), and broadly comparable to Projectworks and the new WorkflowMax — but with a meaningfully wider feature set out of the box.

    There are no module add-ons, no 'enterprise tier required for approvals' surprises, and no per-feature surcharges. Three transparent plans (Core, Pro, Ultra), all billed per user, with everything in each tier included. Annual billing carries a discount and unlocks free migration support.

    What if AtomicSam doesn't have a feature I currently use?

    During the demo we run a feature gap analysis against your current workflows. In most cases AtomicSam has equivalent or stronger functionality — sometimes under a different name, sometimes in a place you wouldn't expect (rate stacking and the unified approval system surprise people most often).

    If there's a genuine gap, we tell you straight. We won't pretend something exists that doesn't, and we won't promise a roadmap date we can't keep. You'll get an honest answer about whether it's planned, whether there's a workaround, or whether AtomicSam genuinely isn't the right fit for your team yet.
