    Assign a task to a staff member

    Learn how to assign tasks to your team members. This ensures everyone knows their responsibilities and helps you track progress on your jobs.

    This guide shows you how to assign a task to a staff member. Assigning tasks clarifies who is responsible for the work and helps you monitor job progress.

    When you assign a task, the staff member receives a notification and the task appears on their personal task list. This system keeps everyone in your organization organized and accountable for their work.

    Before you start

    • You need permission to access and edit jobs.
    • The staff member must be part of your AtomicSam organization.
    • The job must exist and have at least one task ready to be assigned.

    Assign a single task

    1. From the main navigation, open Jobs.
    2. Select the job that includes the task you want to assign.
    3. Navigate to the Tasks tab for that job.
    4. Find the task in the list. In the Assignee column, click the placeholder icon or dropdown menu.
    5. Select a staff member from the list that appears.
    6. The task is now assigned. The staff member's name or avatar will appear in the Assignee column.
    ๐Ÿ’ก Tip: While you can assign multiple tasks to one person, each individual task can only have one assignee. This promotes clear ownership. If multiple people need to collaborate, consider breaking the work into smaller, separate tasks.

    Assign tasks in bulk

    You can save time by assigning multiple tasks to the same staff member at once.

    1. Go to the Tasks tab within a job.
    2. Select the checkboxes next to each task you want to assign.
    3. A bulk actions menu will appear at the top of the task list.
    4. Click the Assign button.
    5. Choose a staff member from the assignee dropdown menu.
    6. Click Apply Changes to assign all selected tasks.

    Reassign a task

    You can easily change the assignee if responsibilities shift.

    1. Navigate to the task you need to reassign.
    2. Click on the current assignee's name in the Assignee column.
    3. Select a different staff member from the list.
    4. The task is immediately reassigned to the new person, who will receive a notification.

    Good to know

    • Notifications: When you assign a task, the staff member receives an in-app notification. They may also receive an email, depending on their personal notification settings.
    • Viewing assigned tasks: Staff members can find all work assigned to them on the My Tasks page, accessible from their main dashboard.
    • Missing staff members: If you cannot find a person in the assignee list, go to Settings โ†’ Staff. Confirm they have been invited to the organization and have an active status.
    • Task ownership: A task can only have one assignee at a time. This policy ensures there is always a single person responsible for moving the work forward.
