    Branded Documents & PDFs

    Every document your clients see should look like it came from your firm, not from generic software — here's how to make that happen

    Your client has just signed off on a high-value proposal. The next thing they receive is a deposit invoice or a detailed Statement of Work. If that document looks like a generic system export, the premium feel of your brand vanishes. Worse, if the layout is messy or the payment terms are buried, you introduce friction exactly when you need momentum.

    Every PDF that leaves your firm—whether it’s a quote, a change order, or an invoice—is a commercial touchpoint. AtomicSam allows you to standardize these documents so they carry your brand’s weight and professional authority. By aligning your visual identity with your commercial data, you ensure that your firm looks as organized as it actually is.

    Setting up your branded documents isn't just about aesthetics; it’s about commercial control. When your terms are clear, your logo is crisp, and your layout is consistent, you reduce the "back-and-forth" questions that delay approvals and payments. You are moving from sending "files" to issuing formal commercial records that protect your margin and build client confidence.

    Establishing Your Visual Identity

    The first step is defining the global styles that apply across all document types. Rather than configuring every invoice individually, you set these rules once to maintain consistency.

    1. Navigate to Settings > Document Branding.
    2. Upload your Primary Logo. For the best results, use a high-resolution PNG with a transparent background.
    3. Set your Brand Accent Color using a Hex code. This color will be used for table headers, borders, and key call-to-actions within the PDF.
    4. Enter your Legal Entity Details. This includes your registered business name, tax ID (such as ABN or VAT number), and your physical address.
    💡 Tip: If your brand uses a very light accent color, AtomicSam will automatically adjust text contrast on colored headers to ensure your clients can actually read the line items and totals.

    Choosing Your Document Layout

    Different firms have different ways of presenting work. A creative studio might want a minimalist invoice that stays out of the way, while an engineering firm might require a dense, itemized breakdown of hours and materials. You can choose layouts that match your firm's communication style.

    Managing Document Content & Terms

    A beautifully branded document is useless if it doesn't contain the right commercial safeguards. This is where you define the "standard" text that protects your firm. You can customize these at Settings > Document Templates.

    • Payment Instructions: Don't just list a bank account. Include clear instructions for wire transfers, credit card links, or reference numbers to ensure your finance team can reconcile payments instantly.
    • Default Terms: Define your standard "valid for" periods on quotes and your "net-X" payment terms on invoices.
    • Footer Text: Use this for your "Thank you" notes or required legal disclaimers.
    ⚠️ Heads up: Changing your global brand color or logo will update all future PDFs generated, but it won't retroactively change the appearance of PDFs you have already sent and locked in the system. This preserves the record of what the client actually saw.

    Communicating with Confidence

    The PDF is only half the battle; the email it’s attached to matters just as much. To maintain commercial integrity, your emails should come from your own domain rather than a generic AtomicSam address.

    By configuring your Custom Email Domain in the Email Settings tab, you ensure that when you hit "Send Invoice," the client sees finance@yourfirm.com. This significantly reduces the chance of your invoices hitting spam filters or being ignored by clients who don't recognize the sender.

    ✅ Did you know: You can create different "email signatures" for quotes versus invoices. A quote might have a warmer, sales-focused signature, while an invoice signature is strictly professional and informative.

    Pro Tips & Common Gotchas

    • Test your logo against the accent color: If your logo is blue and you set your accent color to blue, the document can feel "heavy." If you have a colorful logo, consider using a neutral grey or slate for your accent color to let the logo pop.
    • Don't hide your contact info: Ensure your "Inquiry Contact" is clearly listed in the footer. If a client has a question about a line item, you want them calling you immediately—not sitting on the invoice for two weeks because they weren't sure who to ask.
    • Mind the margins: If you find your terms are cutting off or pushing to a second page, use the Page Break tool in the template editor to manually control where content flows. This prevents your signature or "Total Due" from sitting lonely on a blank second page.
