    Change a staff member’s role and permissions

    This guide explains how to change a staff member's role. Changing a role updates their permissions, ensuring they have the correct level of access to your organization's data.

    As your team members' responsibilities change, their access rights within AtomicSam should reflect that. Assigning the correct role is essential for maintaining security and making sure everyone has the tools they need to do their job, without seeing information they shouldn't.

    Before you start

    • You must be an Admin or the organization owner to change another staff member's role.
    • Your organization must be on the Pro or Ultra plan. The Core plan does not support different staff roles.
    • You cannot change your own role or the role of the organization owner.

    Understand roles and permissions

    Each role comes with a different set of permissions. This table shows the default permissions for the standard roles available on the Pro plan. Use it to decide which role is right for your staff member.

    ℹ️ Good to know: If you are on the Ultra plan, you can create custom roles with permissions tailored to your organization's specific needs.

    Change a staff member's role

    1. Navigate to Settings → Staff.
    2. You will see a list of all staff members in your organization.
    3. Click the name of the staff member you want to update. This opens their profile page.
    4. Locate the Role dropdown menu under the Access & Permissions section.
    5. Select the new role from the list. The available roles depend on your subscription plan.
    6. Click the Save Changes button to confirm the new role.
    ⚠️ Heads up!: The change takes effect immediately. The staff member's access will be updated the next time they load a page or log in. Be sure to communicate this change to them to avoid any confusion or disruption to their work.

    Good to know

    • Organization Owner: The role of the organization owner cannot be changed from the staff settings page. To change the owner, you must transfer ownership to another staff member.
    • Changing Your Own Role: For security reasons, you cannot change your own role, even if you are an Admin. Another Admin must make the change for you.
    • Downgrading a Role: When you change a staff member to a role with fewer permissions (e.g., from Admin to Standard), they immediately lose access to the features associated with the higher role.
    • Audit Log: All role changes are recorded in your organization's audit log, which is accessible to Admins under Settings → Security.
