    Convert a quote to a job

    Learn how to turn an accepted quote into an active job. This saves you time by carrying over all the details your client has already approved.

    This guide shows you how to convert an accepted quote into a new job. Creating a job from a quote saves time and ensures the details for billing and work match what your client approved.

    When a client accepts your quote, the next step is to create a job to track your work. Converting the quote is the fastest way to get started. It copies all the important details so you can begin scheduling staff and tracking time right away.

    Before you start

    • You need a permission level that allows you to view quotes and create jobs.
    • The quote you want to convert must have a status of Accepted. You cannot convert a quote that is still a Draft or is marked as Sent or Declined.

    Mark a quote as accepted

    If your quote has not been marked as accepted yet, you must update its status first. This is often done after receiving verbal or written approval from your client.

    1. From the main navigation, go to Quotes.
    2. Find and open the quote you want to update.
    3. In the header area of the quote, click the Change Status button.
    4. Select Accepted from the dropdown list.

    Convert your quote to a job

    Once a quote is accepted, a new option to create a job from it becomes available.

    1. Navigate to the accepted quote you wish to convert. You can find it in the Quotes list with the Accepted status.
    2. Click the Convert to Job button, located at the top of the page.
    3. The Create Job from Quote screen will open. AtomicSam automatically fills in the new job's details from the quote.
    4. Review the information. The Client, Job Title, Description, and all Line Items are copied across.
    5. Assign one or more staff members to the job using the Assigned Staff field.
    6. Set a Start Date or Due Date if you know them. You can also add these later.
    7. Click Create Job to finish.

    AtomicSam creates the new job and takes you directly to its detail page. You can now track time, add costs, and manage scheduling for the job. A link to the original quote is also visible on the job page for easy reference.

    💡 Tip: The new job is fully editable. If you need to add more tasks or adjust the scope of work, you can do so directly on the job page. Changes to the job do not affect the original quote, which serves as a historical record.

    Good to know

    • After conversion, the original quote's status changes to Converted and it becomes read-only. This protects the integrity of the document your client approved.
    • The line items from the quote become the job's initial budget. The Quote Total becomes the Job Total, which you can track against as you add time and costs.
    • A quote can only be converted into a new job. It is not possible to link or merge a quote into a job that already exists.
