Create a new job
Learn how to create jobs in AtomicSam to track work, manage budgets, and bill your clients. Jobs are the central hub for all your client work.
This guide shows you how to create a new job. A job is how you organize all the tasks, time entries, and costs related to a piece of client work.
A job acts as a container for everything you do for a client. It connects your original quote to the final invoice, holding all billable time and expenses along the way. Keeping work organized in jobs makes it easier to see how profitable you are.
Before you start
- You need a permission level that allows you to create and manage jobs. If you cannot see the Jobs section in the main navigation, ask an organization administrator to update your permissions.
- You must have a client to assign the job to. You can create a new client record before you start or during the job creation process.
Create a job from scratch
You can create a new job at any time. This is useful for internal work or for new client work that does not begin with a quote.
- Navigate to the Jobs section from the main menu.
- Click the New Job button.
- Select an existing client from the Client dropdown menu. To add a new one, click + New Client and fill in their details.
- Enter a descriptive Job Name, like
Website Redesign - Phase 1. - The Job Number is automatically assigned. You can change it if you need to match an external numbering system.
- Set the Start Date and Target End Date for the work.
- Choose a Billing Method to set how you will bill for the job and track its budget. See the table below for a comparison.
- From the Assign Staff section, select the staff members who will work on this job.
- Click Create Job to save.

Create a job from an accepted quote
If your client has already accepted a quote, you can convert it directly into a job. This saves time and ensures the job details match what was quoted.
ℹ️ Good to know: When you create a job from an accepted quote, we automatically copy the client details, job name, and all quoted line items as tasks or costs. This saves you from entering the same information twice.
- Navigate to Quotes.
- Open the quote you want to use. It must have a status of
Accepted. - Click the Create Job button, located at the top of the quote details page.
- AtomicSam pre-fills the job details based on the quote. Review the Job Name, Billing Method, and other fields.
- Assign staff members to the new job.
- Click Create Job. The new job is now ready for you to start tracking time and progress.
Good to know
- Jobs have statuses like
Planned,In Progress,Completed, andArchived. You can update the status from the main job screen to track its lifecycle. - Only staff members assigned to a job can see it and log time against it, unless they have a permission level that allows them to view all jobs.
- You can set a budget for any job to monitor its financial health. Budgets can be based on total hours, total fees, or hours per task.
