Digital Quote Acceptance
Send professional proposals your clients can accept with one click — branded portal, audit trail, and instant notification
You’ve spent hours tailoring a proposal, but the momentum stalls the moment you hit "send." Instead of a signed contract, you’re stuck waiting for a client to print a PDF, sign it by hand, and scan it back—or worse, you’re chasing approvals buried in a messy email thread. Digital Quote Acceptance closes that gap, turning a static document into a professional, clickable portal that secures client commitment in seconds.
Why Digital Acceptance Matters
In a professional services firm, the lag between a verbal "yes" and a formal agreement is where scope creep and revenue leaks begin. By providing a branded, friction-free way for clients to approve work, you protect your margins from day one. You aren’t just getting a signature; you are creating an immutable audit trail that links the agreed-upon price directly to the work you are about to deliver.
How the Client Portal Works
When you share a quote, your client sees a dedicated, secure landing page. This isn't a generic form; it’s a professional extension of your brand, featuring your firm’s logo and brand colors configured in your account settings. This builds trust and ensures your proposal looks as high-end as the services you provide.
The client does not need an AtomicSam account to view or sign the quote. Each quote generates a unique, tokenized URL that is publicly accessible but virtually impossible to guess, ensuring the data stays between you and your client.
Decision Guide: Sharing Your Quote
You have two ways to get the proposal in front of your client. Choose the method that fits your current relationship workflow:
| Method | When to use | The Experience |
|---|---|---|
| AtomicSam Email | Best for standard proposals and speed. | AtomicSam sends a branded email directly to the client with a clear "View Quote" button. |
| Direct Link Copy | Best for high-touch sales or existing threads. | You copy the unique URL and paste it into a personal email, Slack message, or WhatsApp. |
The Step-by-Step Approval Process
1. Issue the Quote
Once your line items and terms are set, click Issue Quote. This locks the document and generates the secure link. You can find this link by clicking the Share button on the quote summary page.
2. Client Review and Signing
Your client opens the link to see the full breakdown of costs and terms. To finalize the deal, they click Accept. A pop-up will appear where they can:
- Enter an optional Purchase Order (PO) Number (this will flow through to your future invoices).
- Add any Client Notes for your team.
- Confirm their name and agreement to the terms.
3. Automatic Transition to Job
The moment they click confirm, the quote status in AtomicSam changes to Accepted. You will receive an immediate notification, and the quote is now ready to be converted into a live Job with a single click. No data entry, no manual status updates.
The Audit Trail: Commercial Security
Every action taken on the portal is recorded in the Audit Trail tab of the quote. This isn't just for your peace of mind; it’s a vital piece of commercial control. For every acceptance or decline, AtomicSam captures:
- Timestamp: Exactly when the action occurred.
- IP Address: The network location of the signer.
- User Agent: The device and browser used (e.g., Chrome on an iPad).
- Client Notes: Any specific instructions they left during the sign-off.
Pro Tips from the Field
- Require PO Numbers early: If you work with larger corporate clients, encourage them to use the optional PO Number field during acceptance. Having this on record from the start prevents your first invoice from getting rejected by their finance department.
- Mobile-first approvals: Many directors approve work while on the move. AtomicSam’s quote portal is fully responsive, meaning your clients can sign off on a five-figure project from their phone between meetings.
- Link, don't attach: Stop attaching PDFs to emails. By sending the link instead, you ensure the client is always looking at the most recent version of the proposal, and you gain the ability to see exactly when they’ve viewed it.
