    Create an invoice from a fixed-price quote

    Learn how to convert an accepted fixed-price quote into an invoice. This ensures you bill your client accurately for the agreed-upon amount.

    This guide shows you how to create an invoice directly from a fixed-price quote. Converting a quote saves time and reduces errors by carrying over the items and prices you and your client already agreed upon.

    A fixed-price quote sets a single Total for a job, regardless of the time and materials it takes. When you convert this type of quote, you bill for that specific amount. You can invoice for the full amount at once or create partial invoices for deposits or milestones.

    Before you start

    • You need an existing quote that your client has formally approved. Its status should be Accepted.
    • You need permissions to create and send invoices. An administrator can manage this in Settings โ†’ Roles & Permissions.

    Create a single invoice for the full amount

    Follow these steps to bill for the entire job after it is complete. This is the most common way to invoice from a fixed-price quote.

    1. Navigate to the main Quotes list.
    2. Find and open the Accepted quote you want to invoice.
    3. Select the Create Invoice button in the top-right corner.
    4. A draft invoice is created. All line items, quantities, and rates from the quote are copied over automatically.
    5. Review the invoice details. You can edit the Issue Date, Due Date, or add a PO Number.
    6. Select Save as Draft to work on it later.
    7. Choose Approve & Send to email the invoice directly to your client.

    Create a partial or deposit invoice

    For larger jobs, you might need to bill for a deposit upfront or invoice as you reach certain milestones. You can create multiple invoices against a single fixed-price quote.

    1. Open the Accepted quote you want to invoice.
    2. Select the Create Invoice button.
    3. From the options that appear, choose Create a progress invoice.
    4. Select whether you want to invoice by a Percentage of total or a Custom amount.
    5. Enter the value. For a 50% deposit, enter 50 in the percentage field.
    6. Click Create Invoice. A draft invoice is generated for the partial amount.
    7. Review and send the invoice. AtomicSam tracks the amount invoiced and the remaining balance on the quote.

    Good to know

    • Creating an invoice from a quote makes a copy of the quote's details at that moment. If you edit the original quote later, the changes will not sync to any existing invoices.
    • You can create as many progress invoices as you need until you have billed 100% of the quote's Total.
    • If the job's scope changes significantly, the best practice is to issue a new version of the quote for client approval. This keeps your financial records accurate.
    • Taxes from your accepted quote are automatically carried over to the invoice.
