Multi-Currency Support
Bill international clients in their currency without the spreadsheet gymnastics
AtomicSam’s multi-currency engine allows you to quote, bill, and track profitability across international borders while maintaining a single source of truth in your local books. This guide covers how the system handles conversions, rounding rules, and accounting synchronization.
Core Concepts
1. The Functional (Base) Currency
Your Base Currency is set at the Organization level (Settings > General). This is the currency in which your business reports profits and pays taxes. All financial reporting—including your Dashboard KPIs and Profit/Loss margins—is calculated by converting foreign transactions back into this base currency.
2. Client-Specific Billing
Each Client profile can be assigned a permanent Billing Currency.
- The Workflow: When you create a Job for a client, it automatically inherits that client's currency. All Quotes and Invoices generated for that Job will be issued in that currency.
- Scenario: If your base is NZD but you land a contract with a US-based firm, setting their profile to USD ensures they never see NZD on their paperwork, while your internal reports still show the converted NZD value.
Exchange Rates & Conversions
AtomicSam uses a real-time Edge Function to fetch mid-market exchange rates daily.
Purchasing in Foreign Currencies
When entering a Cost (e.g., a hardware purchase or subcontractor fee), you can enter the amount in the Original Currency.
- Example: You are a Canadian company (CAD) buying a software license for $100 USD.
- The Action: Enter "$100" and select "USD" in the cost line item.
- The Result: AtomicSam fetches the current rate, records the $100 USD cost, and calculates the CAD impact on your project margin automatically.
Rate Locking
To protect your margins against currency fluctuations, the exchange rate used on a Quote is "locked" once the Quote is accepted. This ensures that the price the customer agreed to remains consistent on the final Invoice, regardless of market shifts in the interim.
Global Rounding Rules (Price Optimization)
To avoid "messy" converted numbers (like a product costing $104.23 after conversion), AtomicSam uses Billing Profiles to clean up international pricing.
Navigate to Settings > Billing > Rounding Rules to configure:
- Round Up to Nearest: Configure steps such as $1, $5, $10, or $50.
- Logic: The system will always round UP to the nearest step to ensure your margins are protected after conversion.
- Scenario: A service costs $100 NZD. Converted to USD, it equals $61.42. If your USD Rounding Rule is set to the nearest $5, the customer's quote will automatically display $65.00 USD.
Accounting Integration
AtomicSam syncs seamlessly with Xero, QuickBooks Online, and Sage.
- Ledger Mapping: Ensure you have the corresponding currency accounts enabled in your accounting software.
- Invoice Sync: When an invoice is pushed to your accounting tool, AtomicSam sends the foreign currency amount. Your accounting tool typically handles the final reconciliation against your bank feed.
- Supported Currencies: We natively support NZD, USD, AUD, GBP, CAD, and EUR. We also support any additional currency enabled within your connected accounting provider.

- Starter Plan: Base Currency only.
- Pro Plan: Full Multi-Currency support (Up to 5 active billing currencies).
- Ultra Plan: Unlimited billing currencies and custom daily exchange rate overrides.
Pro-Tip: Changing a Client's Currency
You cannot change a client's billing currency if they have active, unpaid invoices. We recommend completing all open billing for the client before switching their primary currency to maintain data integrity in your financial reporting.
