Stay informed without drowning in alerts — control exactly which notifications reach you and how

You’re deep in a complex project delivery, balancing three different client scopes and a looming month-end. The last thing you need is a cluttered inbox full of minor task updates, but missing a critical budget alert or a pending approval could cause a bottleneck that stalls your team’s momentum. How do you stay informed without being buried in noise?

Managing the flow of information is a core part of maintaining commercial control. When notifications are tuned correctly, you catch potential revenue leakage or scope creep the moment it happens. When they are ignored because there are too many, that’s when work begins to drift away from the original quote.

By configuring your notification preferences in AtomicSam, you ensure that the most important commercial signals—like a quote being accepted or a project hitting 80% of its budget—get the attention they deserve while routine updates stay in the background.

    Establishing Your Communication Rhythm

In AtomicSam, notifications aren’t just "pings." They are the heartbeat of the job lifecycle. If you are a Project Lead, you need to know when a team member submits time against a fixed-fee job so you can monitor the burn. If you are in Finance, you need immediate visibility when an invoice is marked as paid so you can stop following up with the client.

💡 Tip: Start by enabling "In-App Only" for high-frequency updates and reserve "Email" for items that require immediate action outside of your working hours.

To access these settings, click your profile icon in the bottom left corner and select Profile Settings, then navigate to the Notifications tab.

    Choosing Your Delivery Method

Not every event carries the same weight. AtomicSam allows you to choose between two main delivery channels: In-App (the bell icon in your sidebar) and Email. Use the table below to decide which settings align with your role's commercial responsibilities.

    Category Use this when…
Timesheet Reminders You want to ensure your week is closed off on time to protect billing accuracy.
Approval Requests You are responsible for signing off on quotes, expenses, or time before they hit the ledger.
Job/Project Updates You need to know when a job status changes from "Quoted" to "In Progress."
Invoicing Events You need to track the gap between work delivered and cash collected.
System Alerts You need to be aware of critical budget thresholds (e.g., hitting 90% of a fixed fee).
⚠️ Heads up: Critical system alerts—such as security updates or urgent billing failures—will always appear in your in-app notification center, even if you have disabled other alerts.

    Mapping Notifications to Commercial Control

To maintain commercial integrity, your notifications should act as a safety net. Here is how to configure them based on what you are trying to protect:

    1. Protecting Margin: Enable email notifications for Budget Thresholds. This prevents "over-delivery" where the team keeps working beyond what the client agreed to pay.
    2. Reducing Billing Friction: Enable notifications for Client Quote Acceptance. This allows you to convert a quote to a live job immediately, ensuring no billable time is "lost" in a pre-start limbo.
    3. Ensuring Data Accuracy: If you manage a team, enable Approval Pending alerts. This ensures timesheets don't sit unapproved, which would otherwise delay your month-end invoicing.
✅ Did you know: You can manage "Daily Digest" emails that group together non-urgent updates into a single summary, keeping your inbox clean without losing visibility on job progress.

    Pro Tips / Common Gotchas

    • The "Monday Morning" Check: If you find yourself spending the first hour of your week hunting for work that needs approval, your notifications are likely too quiet. Enable in-app alerts for "Approvals" to handle these as they arrive.
    • Browser Notifications: AtomicSam can send desktop "push" notifications. If you keep the platform open in a tab all day, this is the fastest way to see when a client has viewed a quote you just sent.
    • Avoid "Feedback Loops": Don't enable email for every single comment on a task if you are already using a tool like Slack for internal chat. Keep AtomicSam notifications focused on the commercial status of the job rather than the granular task discussion.
