Understand how recurring jobs are created
Learn how your recurring job schedules work and how we make sure they run on time. You will also learn how to manually create any overdue jobs.
This guide explains how recurring job schedules create new jobs for your clients. Understanding this process helps you trust that your retainers and other regular work are always tracked correctly.
We use an automated system to generate jobs from your recurring schedules. This system is designed for reliability, so you can focus on your work instead of administrative tasks.
Before you start
- You need a permission level that allows you to manage recurring jobs. This is included in the default Admin and Manager roles.
How we create recurring jobs
An automated process runs every hour to check for new jobs that need to be created. It reviews all your active recurring job schedules to see which ones are due.
For example, if you have a schedule set to create a job on the first of the month, our system will create that job on the first scheduled run after midnight on that day.
Preventing duplicate jobs
Each time we create a job from a schedule, we assign it a unique identifier. This identifier is based on the schedule and the date the job is for.
This system prevents the same job from ever being created twice. If the automated process runs more than once for the same hour, it will see that the job already exists and will not create a duplicate. This ensures your data stays clean and accurate.
What happens if a scheduled run is missed
Sometimes, a scheduled run might be delayed due to system maintenance or other issues. When this happens, our process is designed to catch up automatically.
The next time the scheduler runs, it looks back over the last seven days for any jobs that should have been created but were not. It will then generate all missed jobs at once.
⚠️ Heads up: The automatic catch-up process only looks back seven days. If a system interruption lasts longer than a week, some jobs might not be created automatically. You can use the manual process below to create them.
Manually create overdue jobs
If you notice that a recurring job was not created, you can trigger a manual catch-up. This gives you full control to ensure no work falls through the cracks.
- Navigate to Jobs → Recurring Jobs.
- If our system detects any missed jobs from the last 30 days, a notification banner will appear at the top of the page.
- Click the Create overdue jobs button in the banner.
- A window will appear summarizing the jobs that will be created.
- Review the information and click Confirm to generate the missing jobs.
Good to know
- The manual catch-up tool looks back 30 days for missed jobs, while the automatic process only looks back seven days.
- When a job is created from a recurring schedule, it starts in a
Draftstatus. You will need to open and issue the job to make it active. - Editing a recurring job schedule does not change any jobs that have already been created from it. Your changes will only apply to future jobs.
