    Remove a staff member

    Learn how to remove a staff member from your AtomicSam organization. This guide explains how to reassign their work and what happens to their historical data.

    This article explains how to remove a staff member from your organization. Removing people who no longer work with you keeps your data secure and helps you manage your subscription costs.

    Before you start

    • You must have Admin or Owner permissions for your organization.
    • You cannot remove yourself from the organization. Another administrator must do this for you.
    • To protect access, you cannot remove the sole owner of an organization. You must first transfer ownership to another staff member.

    What happens when you remove a staff member

    When you remove a staff member, their access is immediately revoked. Their ongoing assignments and historical data, however, are handled in a specific way.

    • Access: The staff member can no longer log in to your AtomicSam organization.
    • Data Reassignment: You will be prompted to reassign their incomplete tasks and active jobs to another staff member. This ensures no work is lost.
    • Historical Records: All their past contributions, like time entries, notes, and created invoices, remain in the system. Their name is kept on these records for accurate reporting and they will appear as "Deactivated".
    ⚠️ Heads up: Removing a staff member is a permanent action. To grant them access again in the future, you must invite them as a new staff member.

    Remove a staff member

    1. Navigate to Settings → Staff.
    2. Find the staff member you want to remove from the list. You can use the search bar to find them quickly.
    3. Click the three-dot menu icon (...) on the right side of their row.
    4. Select Remove Staff Member from the dropdown menu.
    5. A dialog box named Remove Staff Member? will appear, asking you to confirm the removal.
    6. In this dialog, you must decide what to do with the staff member's open assignments. Under the Reassign Items To section, select another active staff member from the dropdown list. All their currently assigned jobs and tasks will be transferred.
    7. For security, you must type the full name of the staff member you are removing into the confirmation text field at the bottom of the dialog.
    8. Click the red Remove Staff Member button to finalize the action.

    Good to know

    • Removing a staff member can affect your subscription cost. If your plan has a per-seat charge (like the Pro and Ultra plans), the change will be reflected in your next billing cycle.
    • While their primary assignments are transferred, the removed staff member's name will still appear on historical records like time entries, comments, and reports they were involved in.
    • You can choose not to reassign items by leaving the reassignment field blank, if the system allows. In this case, items will remain assigned to the deactivated user. You can manually reassign these later from each individual job or task.
