Set task deadlines and reminders

Learn how to add due dates to your tasks and set up automated reminders. This helps your team stay on track and ensures important work is completed on time.
Clear deadlines provide visibility into your team's workload and help you manage expectations with your clients. When you add automated reminders, you reduce the need for manual follow-ups and empower your staff members to manage their own schedules.
Before you start
- You must have permission to create or edit tasks on a Job.
- Automated task reminders are available on the Pro and Ultra plans.
Set a task deadline
You can add a deadline, or due date, to any task. The date you set appears on the main Tasks list and on the task detail view.
- Navigate to the Job that contains the task.
- Select the Tasks tab.
- Click the name of the task you want to edit, or click Add Task to create a new one.
- In the task details, locate the Due Date field.
- Click the field to open a calendar and select a date.
- Click Save Task to apply the deadline.
💡 Tip: After you set a due date, the task will show an Overdue status if it is not completed by that date. This makes it easy to see which work is falling behind.
Set up task reminders
You can add one or more reminders to a task to automatically notify the assignee before the deadline arrives. Reminders are sent as in-app notifications and emails.
- Open the task you wish to add a reminder to.
- Scroll to the Reminders section.
- Click Add Reminder.
- Confirm the person to notify. This defaults to the Assignee.
- Define the timing for the reminder. For example, choose
1,week,beforethe Due Date. - You can add multiple reminders if needed. For instance, one for a week before and another for a day before.
- Click Save Task.
ℹ️ Good to know: You can set default reminders for all new tasks in your organization. Go to Settings → Task Settings to configure reminders that apply automatically, which you can then override on individual tasks.
Good to know
- A task must have an assignee and a due date to send a reminder. If a task is unassigned, its reminders will not be sent.
- If you change a task's due date, any reminders you have set will automatically adjust to the new date.
- Reminders are sent in the morning on the scheduled day, based on your organization's timezone settings.
- You cannot set a reminder for a date that has already passed.
