    Submit your weekly time for approval

    Learn how to review your time entries and submit them for manager approval. Submitting time promptly ensures accurate client billing and timely payroll.

    This guide shows you how to submit your weekly time entries for approval. Keeping your time up to date helps with accurate client billing and timely payroll.

    When you submit your time, you send it to a manager to review. They will check your entries for accuracy before the time is used for reporting or invoicing. This process creates a locked record of your work for the week.

    Before you start

    • You must have time entries recorded for the week you want to submit.
    • Your organization has the time approval feature enabled.
    • A manager is assigned to approve your time entries.

    Review your weekly time

    Before submitting, it is a good practice to review your entries for the week. This helps you catch mistakes before your manager does.

    1. Navigate to the Time section.
    2. Use the date picker at the top of the page to select the week you want to submit.
    3. Review the list of time entries. Check that the hours, notes, Job, and Client are correct for each entry.
    4. If you find an error, you can edit or delete the time entry directly from this screen.

    Submit your time for approval

    Once you are confident that your time entries are accurate, you can submit the full week for approval.

    1. From the main Time page, make sure the correct week is displayed.
    2. Click the Submit for Approval button. This button is located near the weekly total summary.
    3. A confirmation window appears. It shows the total hours you are submitting.
    4. You can add an optional note for your approver in the text box provided.
    5. Click Submit Week to finish.

    ℹ️ Good to know: Once you submit your time, the entries for that week are locked. You cannot edit or delete them unless your approver rejects the submission. This ensures that approved data remains accurate.

    Correct a rejected submission

    If your manager finds an issue with your submitted time, they can reject it. You will get a notification, and the time entries will be unlocked for you to fix.

    1. Check your notifications for a rejected time submission notice. The notice will include a note from your approver explaining what needs to change.
    2. Navigate to Time and select the week that was rejected.
    3. Your time entries for that week are now unlocked and editable.
    4. Make the changes requested in your approver's note.
    5. Follow the steps above to resubmit your corrected weekly time.

    Good to know

    • To edit an already approved time entry, you must ask a manager or an administrator. They have the permissions to unlock it for you.
    • Time is always submitted for a full week, not a single day. The work week starts on the day your organization has set in Settings → Organization Details.
    • If you do not see a Submit for Approval button, contact your administrator. They may need to enable the feature or assign an approver to you.
