Make AtomicSam speak your industry's language — rename Jobs to Matters, Clients to Customers, and watch adoption accelerate

Your team has just transitioned to a new system, but the language feels like it belongs in another industry. Your consultants are asking why they are working on "Projects" when they’ve spent their careers working on "Engagements." Your finance team is confused by "Quotes" when your clients expect "Proposals." These small linguistic friction points aren't just annoying—they create a barrier to adoption and a subtle sense that the software wasn't built for your specific world.

When your internal terminology doesn't match your commercial reality, you lose more than just clarity; you lose the confidence of your team. Misaligned labels lead to data entry errors and a disjointed client experience. By aligning AtomicSam with your industry’s vernacular, you remove the mental "translation layer" your team has to navigate every day, allowing them to focus on margin and delivery instead of decoding the UI.

    Why Language Drives Commercial Control

In professional services, your terminology is your identity. An architectural firm thinks in terms of "Stages" and "Tenders," while a law firm lives in "Matters" and "Disbursements." If your operating system uses generic terms, your processes start to feel generic too.

Customizing your terminology ensures that every time a staff member logs time or reviews a budget, the language reflects the exact commercial structure of your business. This consistency extends to your client-facing documents. When a client receives an invoice that uses the terms they agreed to in the initial contract, it reinforces your professional standing and reduces the back-and-forth queries that delay payment.

    Choosing Your Terminology Preset

You don't have to rename every button and label from scratch. AtomicSam provides several industry-native presets that update the entire interface in a single click. These presets change core entity names, action buttons (like "Create Job" becoming "Open Matter"), and navigation headers.

    Preset Name Use this when...
Standard You are a general creative or digital agency using Job, Client, and Task.
Professional Services You manage large-scale work for corporate clients and prefer Project, Account, and Milestone.
Legal & Advisory You work on a per-instruction basis and need Matter, Client, and Activity.
Consultancy Your work is structured around long-term Engagements and Deliverables.
Contractor/Trade You work on a per-site or per-contract basis and prefer Work Order or Site.

    How to Customize Labels

If the presets don't quite hit the mark, or if your firm has a very specific way of naming its work stages, you can manually override any term in the system.

    1. Navigate to Settings and select Terminology & Branding.
    2. Scroll to the Entity Labels section. Here you can define the singular and plural versions of your primary records (e.g., "Job" vs "Jobs").
    3. Review the Action Labels. This is where you change the text on buttons, such as changing "New Quote" to "Scope Work."
    4. Click Save & Apply Changes. The system will refresh, and your new terminology will be live across the entire platform.
💡 Tip: Always update both the singular and plural versions of a term. If you change "Job" to "Matter" but forget to change "Jobs" to "Matters," your navigation menu will look inconsistent and confuse your team.

What Changes When You Update Terminology?

When you change a core term, the change ripples through four key areas of AtomicSam:

    • Navigation: The primary sidebar and top-level menus update to show your chosen terms.
    • Buttons and Links: All "Add," "Edit," and "Create" buttons will use your industry language.
    • Email Notifications: When AtomicSam sends automated alerts to your team, it will use the terms they are familiar with.
    • Client Documents: Quote, Invoice, and Statement templates will inherit your custom terminology by default, ensuring a consistent brand experience.
⚠️ Heads up: Changing terminology does not change how the underlying logic of the platform works. For example, renaming a "Quote" to an "Estimate" doesn't change the fact that once it is accepted, it becomes the commercial baseline for your job budget.

✅ Did you know: You can also customize the terminology for "Staff" or "Users." Many firms prefer "Team Member," "Consultant," or "Associate" to better reflect their internal hierarchy and culture.

    Pro Tips & Common Gotchas

    • The "Search" Test: After you change your terminology, try searching for a record using the new name. If you changed "Job" to "Engagement," make sure your team knows to look for "Engagements" in the Global Search bar.
    • Onboarding Alignment: If you use custom terms, ensure your internal training documentation matches. There is nothing more confusing for a new hire than a manual that says "Click Jobs" when the screen says "Click Cases."
    • Client Expectations: If you are changing labels halfway through a long-term project, give your clients a heads-up that their next "Proposal" will now be labeled as a "Statement of Work" to avoid confusion during the approval process.
