Run the WIP Ageing Report
Learn to use the WIP Ageing report to track old, unbilled work. This helps you prioritize invoicing to improve cash flow and monitor job health.
This guide explains how to run and read the WIP Ageing Report. Use this report to find old unbilled work, so you can invoice your clients promptly and maintain healthy cash flow.
Work-in-progress (WIP) is the value of time and costs you have recorded on a job but have not yet invoiced. The WIP Ageing Report shows you how long this unbilled value has existed, grouped into time-based buckets. This helps you see which jobs need immediate billing attention.
Before you start
- You need the Reports permission enabled for your staff member profile.
- To see data in the report, you must have active jobs with unbilled time entries or costs.
Run the report
You can run the report at any time to see a current snapshot of your unbilled work.
- Go to Reports โ Financial.
- Select WIP Ageing from the list of reports.
- The report screen will load. Set your desired filters at the top of the page.
- Click Run Report to generate the results.
Report filters
Use these filters to refine what the report shows.
- As Of Date: This sets the date for the calculation. The report will show the state of your WIP ageing as it was on that day. It defaults to today.
- Client: Run the report for a single client or for all clients.
- Job Manager: Filter the report to only show jobs assigned to a specific staff member.
- Ageing By: Choose how to calculate the age.
From Entry Dateuses the date of the individual time entry or cost.From Job Start Dateuses the start date of the job for all its WIP. - Ageing Periods: Define the time buckets for the report columns, such as
0-30,31-60,61-90, and90+days.
๐ก Tip: Running the report with an As Of Date set to the end of last month is a common way to perform month-end financial reviews.
Understand the results
The report lists each job on a separate row, with columns that break down the total unbilled value by age. A standard report includes the following columns.
- Job: The name of the job. You can click the job name to go directly to that job's detail page.
- Client: The client associated with the job.
- Unbilled Time: The total dollar value of all time entries that have not been invoiced.
- Unbilled Costs: The total dollar value of all billable costs that have not been invoiced.
- Total WIP: The sum of unbilled time and unbilled costs for the job.
- Ageing Periods (e.g., 0-30 Days, 31-60 Days): These columns show the portion of the Total WIP that falls into each age bucket. A large amount in the
90+ Dayscolumn indicates very old work that needs immediate attention. - Total: The last row of the report shows the total for each numeric column, giving you a summary of your organization's overall WIP position.
Good to know
- The age of a WIP item is calculated from the date of the specific time entry or cost, not the Job creation date.
- WIP is reduced when you create an invoice for it. Once an item is included on a finalized invoice, it no longer appears as WIP on this report.
- The report only includes jobs with an Active status. Jobs marked as Completed or Archived are excluded.
- If you use retainers or prepayments, they are not reflected on this report. The report shows gross unbilled value, not the net amount owed by the client.
