This guide shows you how to add a new client to your organization. Adding clients is the first step to creating jobs, sending quotes, and billing for your work.
Every client has a dedicated record. This record acts as a central hub for all their associated jobs, quotes, invoices, and contact information, keeping your work organized.
Before you start
- You need permission to add and edit clients. Staff members with the Admin or Manager role have this permission by default.
Add a new client
- From the main navigation, select Clients.
- Select the New Client button, located in the top-right corner. This opens the new client form.
- Enter the Client Name. The name can be for a person or a company.
- Add a primary contact. You need to provide at least a First Name, Last Name, and Email Address.
- Enter the client's address information in the Billing Address section.
- (Optional) In the Billing Settings section, you can set default Payment Terms, a specific Currency, and a Tax Number for this client.
- (Optional) If this client has special pricing, you can set their Custom Rates. These rates will automatically apply to new jobs you create for them.
- Select Save Client to finish.
💡 Tip: You can add multiple contacts to a client. This is helpful for sending project updates to one contact and invoices to another. Select Add Another Contact on the client's record.
⚠️ Heads up!: The currency for a client cannot be changed after you issue their first invoice. Be sure that the currency is correct during setup to avoid issues later.
Good to know
- Client names must be unique in your organization. If you try to use an existing name, we will ask you to choose a different one. This prevents duplicate client records.
- You can create custom fields for your clients to track information specific to your business processes. Add them under Settings → Custom Fields.
- Instead of deleting old clients, you can archive them. Archiving hides them from your active client list but keeps their data for historical reporting. You can find this option on the client's record page.
