A quote formalizes your proposed work and costs. Once your client accepts the quote, you can convert it into a job or an invoice to start tracking your work.
Before you start
- You need the correct permissions to create and send quotes for your organization. If you do not see the options described, ask an admin on your team to update your role.
- You should add the client to your records first. This allows you to select them when creating the quote.
- For faster quoting, set up your standard services and materials in your Items & Services list.
Create a quote from scratch
This is the most common way to create a new quote. You start with a blank slate and add all the required details.
- From the main menu, navigate to Quotes.
- Select the New Quote button in the top right corner.
- Choose a client from the Client dropdown menu. You can also add a new client directly from this screen if they are not yet in your system.
- Fill in the high-level details for the quote, such as a descriptive Quote Title and the Date. The Quote ID is generated automatically, but you can edit it if needed.
- Add line items for each service or product you are quoting. You can select from your saved items or add a new one on the fly. For each line, you can set the Quantity and Rate.
- Write a Description for each line item. This helps your client understand exactly what is included.
- Add any taxes that apply for each line item using the Tax column. The Subtotal and Job Total are calculated automatically.
- Add any important information in the Notes to Client field. This text is visible to the client on the final quote.
- When you are ready, choose how to save your work. Save as Draft saves the quote without sending it. Save and Send emails the quote directly to your client.
Create a quote from a job
If you have already created a job, you can generate a quote from it. This pre-fills some information, saving you time.
- Navigate to Jobs and open the job you want to quote for.
- From the job's action menu, select Create Quote.
- The quote is created with the Client and Quote Title already filled in based on the job details.
- Add line items, notes, and other details just as you would when creating a quote from scratch.
- Save the quote as a draft or send it to your client for approval.
๐ก Tip: If you often create similar quotes, save one as a template. Open an existing quote and select Save as Template from the action menu. You can then use this template to create new quotes quickly.
Good to know
- After a client accepts a quote, you can convert it directly into a job or an invoice. This saves you from re-entering information and helps keep your records accurate.
- You can customize the appearance of your quotes. Go to Settings โ Templates to change the layout, add your logo, and adjust colors.
- To require a payment upfront, you can add a deposit request to your quote. You can set this as a fixed amount or a percentage of the Job Total in your quote settings.
